WHAT ARE THE STEP BY STEP PROCEDURES?


STEP 1: REVIEW AND EVALUATION
We will review your documents request if we can get it for you. Make sure that you have existing records on the PSA (Philippine Statistics Office) before making a request. We cannot get any documents from PSA if you don't have available record.

STEP 2: SERVICE PAYMENT DEPOSIT
If all was clear and you agreed to the conditions and terms discussed, we will send to you our bank account kung saan nyo pwedeng ihulog ang payment. Bilang evidence of your payment, you need to send to us the receipt of your deposit. Kunan nyo na lang ng picture ang resibo using your smart phones and send it to us.

STEP 3: SPA (SPECIAL POWER OF ATTORNEY) CREATION
We will create the SPA that is needed for the application of your documents. Some information from you is necessary to be written on SPA, and we will let you know about it. Once the SPA was completed, we will send to you the PDF file for final checking.

STEP 4: SENDING OF SPA TO YOUR ADDRESS
We will send to your address here in Japan the SPA that was created and confirmed by you. It is a registered MAIL to make sure it will reach your hands, at hindi ito mawawala. Your signature is needed when receiving this.

STEP 5: SPA AUTHENTICATION CERTIFICATE (RED RIBBON) APPLICATION
Once your received the SPA, you are the one to apply for AUTHENTICATION CERTIFICATE (RED RIBBON) of it to the nearest Philippine Embassy Office/Consulate in your place. Put our address on the sending address so that they will send the result to us directly.

STEP 6: WAITING FOR SPA RED RIBBON
After SPA Red Ribbon application, we need to wait for 3 to 4 days before the result of it will arrive on our address that will be send by Philippine Embassy/Consulate Office.

STEP 7: SENDING SPA TO PHILIPPINES
When we received the SPA with Red Ribbon that you applied, we will send it to Philippines so that our representative can apply your documents to PSA/DFA. It will takes 3 to 5 days before it will arrived.

STEP 8: DOCUMENTS APPLICATION TO PSA/DFA
When our representative in Philippines received the SPA that we sent, they can apply now your documents to PSA/DFA using the SPA that was sent to them. The application of it will takes 1 to 2 DAYS.

STEP 9: DOCUMENTS SENDING TO JAPAN
Before sending the documents here in Japan, we will take a picture of the documents and send it to you for confirmation and final check. If all was clear, they will send the documents in our address here in Japan. It will takes 4 to 5 DAYS to arrived it here in Japan.

STEP 9: DOCUMENTS TRANSLATION WORK
Once the document arrived here in Japan, we will inform you about it. We will do the translation work also and send the translated document files to you for final check and confirmation. It will just take 1 DAY for the translation work.

STEP 10: SENDING THE ORIGINAL & TRANSLATED DOCUMENTS
After the translation work, we will send now the original documents that was applied together with the translated version of it. It will be a registered MAIL so you will need to sign it once it will arrived to your address. This will be the FINAL STEP.


HOW MUCH IS THE SERVICE CHARGE?

This document application service is a package service. The service charge for this is 20,000 YEN for every transaction (1 document, one 1 copy only). Now, additional charge will be applied if you have other documents you want to apply at the same time. The package include the following work:

  • Pag-gawa ng SPA(Special Power of Attorney) service charge
  • PSA/DFA Document application charge
  • EMS registered mail charge (from Philippines to Japan)
  • Translation service charge (for 1 page of document only)
  • Letter pack registered mail charge (from Our Address to Your Address)
  • MALAGO Work Service Charge

HOW MUCH IS THE EXTRA CHARGE?

Meron karagdagang bayad sa bawat additional copy ng document na gusto ninyong kunin. Halimbawa is gusto ninyong kumuha ng 2 copies of Birth Certificate ninyo, an additional of 1,000 YEN for every additional copy will be charge. Kung 3 copies, you will pay 2,000 YEN for additional Charge. Kung gusto ninyong kumuha ng Birth Certificate at Marriage Certificate ng sabay and one (1) copy each only, you will also pay 1,000 YEN as an additional charge.

3,000 YEN is the additional charge for every additional page of the document needed to translate. For example, if your Birth Certificate is a two (2) pages document, additional charge of 3,000 YEN will be needed for the translation of the page 2 of the said document.


HOW LONG IT WILL TAKE FOR THE APPLICATION?

It will take a maximum of 10 DAYS from the day we apply it until it will arrive on your address. One (1) day for the document application, three (3) to four (4) days to send the document from Philippines to Japan, then one (1) day of translation work, and additional one (1) day to send the document to your address.

Our application cut-off will be every 15th day and end of the month. Application done on 15th day of cut-off will reach to them or the document will be in their hand before the end of the month. And application done at the end of the month will reach them before the end of second week of the following month.


IMPORTANT REMINDERS:

(1) NO REFUND will be implemented once the document was already applied on the respective government office.

(2) We are not responsible for any discrepancy or mispelled names or info on the documents applied. We will only checked the spelling of the name of the applicant on the respective document and once we find out that it is wrong, we will make a claim on the government office during that time. A copy of it will be taken for your reference.
